Where they started

Good food, and nothing connecting the website, the kitchen and the money.

  • The "Order Online" button sent guests to a delivery app.
  • Catering deposits had no online checkout.

What we deployed

Seventeen systems, each one in the restaurant's name.

  1. The restaurant's website. Menu, catering, events and reservations, easy to read on a phone.
  2. Online ordering for pickup. Guests pay by card, Apple Pay or Google Pay, and the money goes straight into the restaurant's own payment account. Tax shows before they pay.
  3. Pay at the table. Staff build the order, and the guest scans a QR code to pay on their own phone.
  4. Catering deposits and balances by card. Guests pay the deposit online to book, then the balance, straight into the restaurant's own payment account.
  5. Catering balance reminders. Every hour, a job looks for catering orders due in the next 24 hours that still owe a balance, and emails the guest a single-use payment link.
  6. Gift cards. Sold online, the code is emailed once payment is confirmed, and staff redeem it with protection against spending the same card twice.
  7. Kitchen tickets. A small computer in the restaurant prints every paid online order for the kitchen, plus a receipt at the front desk. It runs beside the restaurant's existing point-of-sale without getting in its way.
  8. Print checks that fix themselves. See the next section.
  9. A staff console. Order board, kitchen rail, floor plan and waitlist, with PIN sign-in and an owner view. It installs on any tablet or phone.
  10. Reservations and one waitlist. Any party size, shared by the website and the host stand. Larger parties get a deposit link.
  11. A point-of-sale of its own. Tabs, split bills, pay at the table, a time clock, tips, and manager approval on voids and comps.
  12. A staff assistant inside the point-of-sale. It answers routine questions, like a price from the live menu or whether a dish is available. Anything that matters waits for a manager to approve it.
  13. Social video, reposted for them. New Instagram videos go to YouTube on their own. Anything flagged waits for approval.
  14. Owner requests logged. Requests that land in the owners' inbox are picked up and logged, so none get lost.
  15. Event pages for recurring nights. Published to Eventbrite after the owners approve them.
  16. Sales reconciled automatically. Every card payment is logged, sorted and matched against refunds, ready for month-end.
  17. A review step on automated email. No automated email reaches the owners unless its template has been approved.

Built to fail loudly

A paid order should never go missing in the kitchen.

Printers and small computers fail, and they rarely tell anyone. So the kitchen printing was designed to check itself and call for help.

  1. Every ticket is confirmed. The printer's computer reports each printed ticket back to the order system.
  2. It tries to fix itself first. If a print fails, the computer restarts itself once and tries again.
  3. Then it tells the owners. If a paid order still has not printed after a few minutes, the owners get the full order by email, so the kitchen can cook from it.
  4. Then it tells us. Our engineer is paged only if the automatic fix does not work.

    Every action is confirmed, and a person hears about a problem with enough detail to act before a guest notices.

  • A person approves anything that touches money or guests.

    Automation prepares the work. A manager, or a rule the owner approved, lets it go.

  • You own all of it.

    Everything is in your name. If you ever leave, you keep it, and we hand you the keys.
